Similar to Recording Dictation, you can use SoniClear to capture valuable organizational knowledge by recording "verbal annotations". This is a variation of a "note to the file" used in the legal profession. In this application, knowledge workers can dictate informal verbal notes about paper or computer documents that are stored on a central server. The user making the recording attaches the dictation file name to the document being annotated. Future readers of documents can recall the verbal annotations for playback.

Verbal Annotation has the benefit of capturing information at the source of the knowledge in a time efficient manner. People generally do not have time to type up formal memos, instead choosing to keep valuable information in their heads. This works until the information is forgotten, or that person leaves the organization, taking their valuable knowledge with them. With SoniClear and Verbal Annotation, this information is retained and available on demand when needed.

How To Instructions

For recording verbal annotations, set up workstations in the same way as for Group Dictation. You may want to standardize on a particular naming convention for files. For example, when making a recording about customer files, have users always enter CUST in the new file name dialog. Then SoniClear will automatically add numbers to the end of the file name. The choice of File Suffix may also be useful to distinguish the type of annotation or user, depending on your requirements.

After recording a verbal annotation, manually copy the file name to the paper or computer document to which the comments apply.

For retrieval of the verbal annotations, the best approach is to have SoniClear installed on each workstation that will be playing the recordings. Purchase and install SoniClear for each workstation that will access the annotations. Configure the common directory in the program Preferences. If you want to prevent playback workstations from recording or modifying existing recordings, the directory rights can be set to read-only for playback workstations (consult your Systems Administrator for instructions).

Alternatively, any other software capable of playing standard sound files (such as Windows Media Player and Internet Explorer) can be configured to play back the recordings. For example, a web page can point to the shared directory containing the recordings. Accessing that page will display the files available for playback.
